About the role
Urbanwindows is looking for a reliable and organized Office Assistant to keep the daily office running smoothly. The role is on‑site and ideal for someone who enjoys a fast‑paced environment and can juggle multiple administrative tasks while supporting staff and visitors.
Key responsibilities
- Manage daily office communications, including phone calls, emails, and correspondence.
- Organise, maintain, and update office records, files, and documentation.
- Schedule appointments, meetings, and calendar activities for staff.
- Provide clerical and administrative support to management and colleagues.
- Welcome clients and visitors professionally.
- Maintain office equipment such as printers and ensure proper functionality.
- Monitor and order office and kitchen supplies as needed.
- Prepare tea, coffee, and refreshments for staff and guests.
- Set up meeting spaces and assist with hospitality during meetings and client visits.
- Help keep the office, kitchen, and common areas clean and well‑organised.
- Use Canva templates for simple office materials like flyers, social posts, or presentations (no advanced design required).
Required profile
- Strong phone etiquette and clear, professional communication.
- Experience in administrative assistance and general clerical duties.
- Proficiency in using and maintaining common office equipment.
- Excellent organisational skills, attention to detail, and ability to multitask.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Basic knowledge of Canva for template‑based tasks.
- Previous experience in office administration or customer service is a plus.
