About the role
The Program Administrator supports the Desautels MBA program by managing student orientation, course scheduling, and related communications. Reporting to the Associate Director – Admissions & Recruitment, the role ensures smooth administrative operations for new and current students.
Key responsibilities
- Prepare orientation materials, guides and plan the “Base Camp” sessions for incoming students.
- Coordinate MBA course scheduling by working with the infrastructure team and reviewing drafts with the Academic Director.
- Maintain up‑to‑date timetables, important dates and E‑calendar entries for MBA pages.
- Administer core course logistics, including instructor contracts, course evaluations, textbook set‑up and casual teaching support requests.
- Monitor teaching costs and student funding requests against the annual budget.
- Support the Desautels Case Competition – recruit judges, book venues, create myCourses pages and track registrations.
- Assist the admissions team, take minutes for the Masters Recruitment Committee and attend virtual recruitment events.
- Conduct one‑on‑one sessions to advise students on program pathways, electives, internships and answer email inquiries.
- Process Independent Study applications, register students and generate supervisor contracts.
- Produce the MBA Newsletter by gathering content, formatting, selecting photos and managing Envoke licences.
Required profile
- Self‑starter with experience in student affairs or admissions.
- Team player with strong commitment to colleagues and stakeholders.
- Excellent organizational and communication abilities with high attention to detail.
- Ability to prioritize multiple tasks and adapt work schedule for off‑campus activities.
