Travel Coordinator – Charter Flight Logistics

About the role

The WAHA Redevelopment Project in Northern Ontario needs a Travel Coordinator to manage charter flight logistics for personnel traveling to a remote construction site. Reporting to the Travel Manager, you will ensure safe, timely, and efficient air travel for a large‑scale healthcare facility build.

Key responsibilities

• Coordinate and process charter flight booking requests for project staff.
• Work with the Travel Manager to schedule flights, optimise capacity and maximise charter utilisation.
• Maintain accurate flight manifests, passenger lists, seating assignments and travel documentation.
• Monitor flight schedules and communicate changes, delays or cancellations to travellers and internal stakeholders.
• Serve as the primary contact for trade partners regarding charter bookings.
• Liaise with the charter airline to manage reservations and special travel requirements.
• Provide clear travel instructions, confirmations and support to travellers.
• Assist travellers during disruptions and resolve travel‑related challenges.
• Generate reports on passenger volumes, flight utilisation and travel metrics.
• Ensure compliance with project travel policies and support additional travel initiatives.

Required profile

• High school diploma or equivalent; post‑secondary education in logistics, travel or administration is an asset.
• Minimum 3 years of experience in travel coordination, airline reservations or a related field.
• Strong organisational, time‑management and communication skills.
• Ability to manage multiple priorities in a fast‑paced environment and remain calm under pressure.
• Experience with charter flights or remote, large‑scale construction projects is a plus.

Required skills

• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Experience using airline reservation systems or travel booking platforms.
