About the role
The Physician Support Specialist provides essential administrative and clinical‑adjacent assistance to physicians and clinic teams at CASA Mental Health. Working in a fast‑paced mental‑health environment, you will help ensure smooth day‑to‑day operations, accurate documentation, and seamless patient care.
Key responsibilities
- Coordinate physician schedules, appointment bookings, re‑bookings and follow‑up sessions using EMR and Outlook.
- Support virtual, in‑person and telephone appointments, including room bookings and videoconferencing.
- Manage EMR workflows such as chart closures, document uploads, task routing and record maintenance.
- Perform medical transcription and prepare clinical documents, discharge summaries and external forms.
- Create spreadsheets, tracking tools, reports and operational documentation to support clinic workflows.
- Track onboarding, training and certification requirements for new team members.
- Organise meetings, agendas, case conferences and record minutes.
- Maintain confidential records in compliance with privacy legislation and CASA policies.
- Collect vital signs, initiate referrals and escalate crisis calls as needed.
- Support workflow improvement initiatives and provide cross‑coverage during absences or peak periods.
Required profile
- Strong attention to detail and ability to work independently within established procedures.
- Knowledge of medical terminology and clinical administrative processes.
- Sound judgment, accuracy, confidentiality and adaptability.
Required skills
- Proficiency with Microsoft Word, Outlook and Excel.
- Experience using EMR systems for scheduling and documentation.
- Medical transcription ability.
