About the role
We are seeking a highly organized Personal Assistant to support the President of a privately‑owned real‑estate development firm in North York. The role combines executive support, personal concierge duties, and coordination of high‑profile events and travel.
Key responsibilities
- Provide daily personal assistance to the President, including greeting guests and managing appointments.
- Arrange complex travel itineraries, private‑plane charters, flights, accommodations, security, and ground transportation.
- Handle personal and charitable donations, record‑keeping, and cheque processing.
- Prepare files, documents, and meeting materials; maintain electronic and hard‑copy filing systems.
- Manage mail, deliveries, catering, and vendor relationships for multiple residences and office locations.
- Process monthly credit‑card expenses, perform data entry, and reconcile statements.
- Support charity and fundraising events, draft correspondence, and design personalized invitations.
- Coordinate couriers, boardroom and Zoom meeting logistics, and label creation.
- Provide backup coverage for the Executive Services and Administration teams as needed.
Required profile
- Previous experience as a Personal, Administrative, or Executive Assistant supporting C‑suite executives in a fast‑paced corporate environment.
- Strong interpersonal skills, discretion, and the ability to manage confidential information.
- Detail‑oriented self‑starter with excellent organizational and time‑management abilities.
Required skills
- Proficiency in managing complex calendars and travel logistics.
- Experience with electronic filing systems and document preparation.
- Ability to handle high‑volume correspondence, donations, and expense reporting.
