Medical Secretary – Primary Care Team

About the role

The Medical Secretary works closely with a multi‑disciplinary primary‑care team to ensure smooth clinic operations, providing welcoming client service and maintaining essential administrative systems.

Key responsibilities

• Greet clients, answer inquiries, schedule, cancel and reschedule appointments, and manage referral and prescription processes.
• Maintain accurate physical and electronic client records, update information, and archive paperwork.
• Prepare basic reports, document billing (including shadow billing), and handle inventory of forms and medical supplies.
• Manage phone calls, voicemail, and coordinate communication between staff and external services.

Required profile

• Medical Secretary Certificate or equivalent secondary school diploma with relevant work experience.
• Minimum two years of office experience, preferably in a health or community setting.
• Experience using electronic medical records (EMR) systems.
• Ability to provide inclusive, non‑judgmental service to diverse client populations.

Required skills

• Proficiency with electronic medical records (EMR) systems.
• Strong typing speed and general computer operation.
• Database management and familiarity with common software applications.
