Health Records Clerk – Level 3

About the role

The Health Records Clerk – Level 3 supports patient care by managing the flow of medical records within Richmond Hospital. Reporting to the Manager or Coordinator, you will ensure accurate assembly, retrieval, and delivery of records while maintaining compliance with privacy standards.

Key responsibilities

• Assemble, retrieve, and deliver patient records using the Admission, Discharge, Transfer (ADT) and Electronic Health Record (EHR) systems.
• Prepare charts for scanning, operate scanning equipment, and index records in the electronic scanning application.
• Verify image quality, apply indexing criteria, and store boxes in designated areas.
• Calculate statistics, perform reception duties, and manage off‑site storage preparation.
• Release patient information for continuity of care in accordance with established procedures.

Required profile

• Grade 12 education plus at least one year of recent related experience, or an equivalent combination of education and training.
• Strong verbal and written communication abilities.
• Physical capability to handle record boxes and operate related equipment.
• Organizational skills and ability to work effectively with others.

Required skills

• Proficiency with Electronic Health Record (EHR) systems.
• Experience using electronic records scanning software and indexing applications.
