About the role
The Executive Coordinator supports the Managing Director and the Canada Business Unit Leadership Team, ensuring smooth administrative operations and the execution of transversal projects. This hybrid role combines strategic assistance, project coordination, and day‑to‑day office management.
Key responsibilities
- Coordinate multiple transversal projects, track status, prepare meeting reports, and manage resources, budgets, and timelines.
- Provide strategic support to the Managing Director, including agenda setting, calendar management, and preparation of speeches, presentations, and strategic documents.
- Develop and refine company and business presentations in PowerPoint, collecting and analysing data to support content.
- Handle administrative duties such as calendar management, call screening, visitor reception, travel arrangements, and office‑related HR tasks.
- Manage expense processes, purchase orders, supplier quotations, and invoice processing for office activities.
- Support the planning and execution of conferences, company meetings, and events, including venue selection and logistics.
Required profile
- Demonstrated ability to act as a trusted partner to senior leadership, maintaining a high degree of confidentiality.
- Strong organizational and communication skills to coordinate cross‑functional initiatives and stakeholders.
- Experience supporting HR and office systems, handling travel, expense, and procurement processes.
