About the role
The Coordinator, Protocol, Ceremonies & Events provides complex, confidential administrative support for UBC’s ceremonial and strategic campus events, including graduations, VIP recognitions and university‑wide special occasions. Working closely with the Senior Manager, Protocol, Ceremonies & Events and a wide range of campus partners, the role ensures events are planned, booked and executed smoothly while maintaining high standards of service and compliance.
Key responsibilities
- Manage the non‑academic space booking system, reviewing requests, approving events and resolving issues.
- Consult on ad‑hoc academic space bookings to maximise campus availability.
- Provide end‑to‑end support for ceremonial events such as spring graduations and high‑profile recognitions.
- Collaborate with University Relations, Campus Operations, Risk Management and other stakeholders to coordinate logistics, safety and communication.
- Develop and improve resources, guidelines and processes related to event planning and space utilisation.
- Serve as the first point of contact for staff, students and faculty seeking space or event assistance.
Required profile
- Exceptional organisational and communication abilities.
- Proven capacity to manage multiple urgent tasks and priorities.
- Experience coordinating events in a large, complex institution.
- Strong customer‑service orientation and attention to policies and guidelines.
- Ability to work both independently and collaboratively under supervision.
