About the role

Our client, a well‑established non‑profit association in downtown Toronto, is looking for a highly organized Administrative Assistant to support the CEO. The role provides dedicated executive and operational assistance as the organization grows, acting as a trusted partner to the senior leadership.

Key responsibilities

  • Manage the CEO’s calendar, aligning priorities and optimizing scheduling.
  • Coordinate board meetings, committee activities and internal meetings, including preparation and follow‑up.
  • Serve as primary point of contact for executive‑level stakeholders, handling communications with professionalism and discretion.
  • Oversee office operations such as mail, supplies and internal event coordination.
  • Track deliverables and follow up with staff, vendors and committees to ensure accountability.
  • Support meeting logistics by preparing materials, agendas and post‑meeting action items.

Required profile

  • Minimum 3 years of progressive administrative experience with demonstrated stability.
  • Experience in a non‑profit, association or regulatory environment is a strong asset.
  • Advanced proficiency in written and verbal English communication.
  • Strong organizational abilities with capacity to manage multiple priorities and deadlines.
  • Proactive, resourceful mindset with ability to anticipate needs and take initiative.
  • High level of discretion, diplomacy and sound judgment in complex situations.
