About the role
The Support Assistant provides routine administrative support to legal assistants, principals, and visiting lawyers in our Toronto office. This full‑time, on‑site position involves handling high‑volume document processing, electronic filing, and ensuring office supplies and equipment are ready for use.
Key responsibilities
- Code, bookmark, quality‑check, organize, print and scan documents, including downloading jobs, resizing, reproducing, sorting, collating and finishing.
- Assist with electronic filing according to legal assistant or principal instructions and firm guidelines.
- Support visiting lawyers by maintaining supplies, equipment, and coordinating travel arrangements with their assistants.
- Prepare binders, closing folders and books, and manage vacation, break and absenteeism schedules for the team.
- Perform ad‑hoc duties such as data entry as required.
Required profile
- At least 1 year of related experience, preferably in a professional services environment.
- Strong client‑service orientation with the ability to manage multiple client needs simultaneously.
- Excellent organizational, communication and interpersonal skills.
- High attention to detail and ability to follow standard work processes.
- Capability to work independently and collaboratively within a team.
Required skills
- Proficiency with the Microsoft Office suite.
- Experience using PDF creation and editing tools such as Adobe Acrobat or Nuance Power PDF.
- Familiarity with electronic document management systems (asset).
