Front Counter Associate – Summer Session

About the role
The Front Counter Associate works in the Conferences & Accommodation office at UBC during the summer session. You will handle guest registration, payments, reservations and provide information to conference delegates.
Key responsibilities
- Register guests, process check‑in/check‑out, handle cash and credit transactions.
- Operate the telephone switchboard, receive and process reservation requests via phone, email, fax and mail.
- Maintain guest accounts, post charges, issue invoices and manage lost‑and‑found inventory.
- Perform night‑audit procedures and generate reports using the Opera system.
- Encode access cards with Ving, print conference schedules from EBMS and assemble delegate kits.
- Respond to guest inquiries about accommodation, campus services and local tourism.
Required profile
- Available May 24 – August 31 2026 for day, afternoon, evening and overnight shifts, including weekends and holidays.
- Willing to work flexible hours with limited time‑off requests between June 1 and August 1.
- Strong customer‑service orientation and ability to handle cash accurately.
Required skills
- Proficiency with the Opera hotel‑management system.
- Experience using Ving access‑card encoding.
- Familiarity with EBMS conference‑schedule software.
- Telephone switchboard operation and basic office equipment.
