About the role

This contract position supports senior executive leadership of a global HR organization in downtown Toronto. The role is fast‑paced, high‑visibility and requires proactive coordination of calendars, travel, communications and HR‑related processes.

Key responsibilities

  • Manage complex, multi‑time‑zone calendars for senior executives, prioritising meetings and commitments.
  • Act as gatekeeper for internal and external communications, handling inboxes and triaging requests.
  • Coordinate domestic and international travel arrangements on tight timelines.
  • Process and submit expense reports accurately and efficiently.
  • Organise executive meetings, prepare agendas, take minutes and track actions.
  • Support internal and external events such as town halls, leadership meetings and team gatherings.
  • Prepare high‑quality presentations, reports and executive correspondence.
  • Maintain HR signing authority records and manage system access permissions (Teams, shared drives, mailboxes, distribution lists).
  • Assist with onboarding, off‑boarding, compliance audits and business continuity documentation.

Required profile

  • 5+ years of experience as an Executive Assistant or senior administrative support professional, preferably in HR or a large corporate environment.
  • Strong organisational abilities with a track record of handling competing priorities.
  • Excellent written and verbal communication skills and a high level of discretion.
  • Ability to work independently and anticipate executive needs.
  • Bilingualism in French is an asset.

Required skills

  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Teams.
  • Expert‑level skills in PowerPoint and Excel (advanced).

What we offer

  • Compensation of $40–$50 CAD per hour on a contract basis.
  • Initial 1‑month contract with potential for extension or conversion to full‑time.
  • Hybrid work model – three days on‑site in downtown Toronto.
