Vendor Coordinator

About the role

We are looking for a highly organized Vendor Coordinator to support Proax’s Vendor Management team. The role serves as the operational backbone for vendor programs, communications, and activities, ensuring smooth execution of promotions, product launches, training and reporting.

Key responsibilities

• Act as the daily point of contact for vendor coordination, schedule meetings, manage agendas and follow‑ups.
• Support Vendor Managers by coordinating timelines, deliverables and maintaining trackers and dashboards.
• Arrange ordering, allocation and logistics of demo equipment, track inventory and lifecycle.
• Monitor Marketing Development Funds (MDF), submit claims and ensure compliance.
• Assist with new product launches, promotions, trade shows and maintain promotion calendars.
• Maintain vendor price lists, update pricing data and flag discrepancies.
• Support onboarding of new vendors, including system setup and training.
• Enter and track vendor‑related leads in HubSpot and generate basic performance metrics.
• Coordinate vendor training sessions, track attendance and maintain records.
• Prepare vendor reports, dashboards and scorecards for business reviews.

Required profile

• 2+ years of experience in coordination, operations or administrative support.
• Strong organizational, time‑management and attention‑to‑detail abilities.
• Excellent communication skills and ability to work cross‑functionally.
• Proficiency with Microsoft Office (Excel, PowerPoint, Outlook).
