Undergraduate Programs Assistant – Administrative Support

About the role

The Undergraduate Programs Assistant provides essential administrative support for the Economics undergraduate programs at UBC. Working closely with the Directors of Undergraduate Studies and the Senior Undergraduate Programs Assistant, this role helps ensure smooth operations for roughly 1,000 domestic and international students.

Key responsibilities

• Coordinate admissions processes, including application processing, offers, refusals, and recruitment activities.
• Manage course scheduling for over 160 ECON sections per year, including labs, discussion sections, and online courses.
• Monitor student registrations, enforce prerequisites, and resolve eligibility issues.
• Organise exam schedules and act as liaison between faculty and Enrollment Services.
• Respond to student inquiries in person, by email, and by phone regarding registration, program requirements, and academic policies.
• Provide administrative assistance to the Honours Advisor and other faculty advisors.
• Supervise Work‑Learn students and volunteers at the Economics Learning Center.
• Liaise with VSE faculty, staff, students, and external community partners.

Required profile

• Reports to the Undergraduate Programs Manager and works under the direction of the Directors of Undergraduate Studies.
• Demonstrated ability to handle complex administrative tasks in a university setting.
• Strong communication skills for interacting with students, faculty, and staff.
• Experience supervising student workers or volunteers is preferred.
