Tax Registration Officer

About the role

The Tax Registration Officer supports the City of Hamilton’s Tax Billings & Collections team by managing tax registration and sale processes, protecting municipal interests in tax‑arrears properties, and ensuring compliance with the Municipal Act.

Key responsibilities

• Monitor and process properties eligible for tax registration, conduct title searches, and register documents using the Teraview system.
• Negotiate and monitor payment arrangements and extension agreements with taxpayers, and prepare related legal documents.
• Prepare and mail notices of registration, final notices, and other correspondence in accordance with legislation.
• Conduct online legal and corporate searches, produce reports, and liaise with external agencies such as MPAC and the Ontario Property Tax Association.
• Assist with tax sales, by‑law preparation, and provide guidance to front‑line staff and the public on tax registration matters.

Required profile

• Community college diploma or equivalent in business accounting, finance, or related field, with relevant work experience.
• Knowledge of municipal tax legislation and procedures, especially tax collection and land sale processes.
• Strong analytical, communication, and conflict‑resolution skills, with the ability to work independently and as part of a team.
• High integrity and confidentiality when handling taxpayer information and negotiations.

Required skills

• Proficient use of the Teraview Land Registry System for title searches and document registration.
• Advanced skills in Microsoft Word and Excel, including data manipulation.
• Experience with database software for managing tax records.
