Purchasing Assistant

About the role

The Purchasing Assistant supports daily procurement activities for the Stewart Blusson Quantum Matter Institute (SBQMI) at UBC. Working under the Operations Manager, the role ensures that purchases align with the Canada First Research Excellence Fund (CFREF) guidelines and the institute's research needs.

Key responsibilities

• Use Workday to process purchase orders, verify funding, and maintain procurement records.
• Prepare specifications and manage request‑for‑proposal (RFP) processes in collaboration with UBC Supply Management and faculty.
• Coordinate with vendors to obtain compliant quotes, confirm shipping details, and resolve any discrepancies.
• Track invoices, reconcile purchase cards, and liaise with finance staff to ensure timely payments.
• Handle shipping and receiving, including customs clearance, courier scheduling, and notification of recipients.

Required profile

• Experience with procurement or purchasing processes in an academic or research environment.
• Familiarity with funding agency requirements, especially CFI and CFREF.
• Strong attention to detail and ability to maintain accurate documentation.
• Effective communication skills for interacting with faculty, vendors, and finance teams.
