Proposal Production Support Agent

About the role

The Proposal Production Support Agent is responsible for creating and managing high‑quality proposal documents that meet WSP’s visual identity and compliance standards. This role works closely with multidisciplinary teams across Quebec to ensure timely and accurate submission of tender proposals.

Key responsibilities

• Produce initial templates and layouts for proposals using Word, InDesign, and PowerPoint.
• Review tender documents, extract compliance matrices, and track deadlines.
• Compile and maintain reusable content such as company profiles, project sheets, résumés, and organizational charts.
• Adapt résumés and project sheets to client‑specific formats for municipalities, transportation agencies, and federal government.
• Perform compliance and consistency reviews, including French language quality checks.
• Prepare administrative submission forms and assemble final versions for portals like SEAO.
• Maintain the content library in SharePoint and track production schedules.
• Lead proposal kick‑off and follow‑up meetings with Quebec‑based teams.

Required profile

• College diploma or university degree in architecture, urban planning, civil engineering, graphic design, communications, business administration or related field.
• 3‑5 years of experience in proposal support, bid coordination, technical editing or document production, preferably in consulting engineering.
• Excellent written French (mandatory) and strong attention to detail.
• Familiarity with public procurement processes in Quebec (SEAO, weighted evaluation grids) is a strong asset.

Required skills

• Advanced proficiency in Microsoft Word (styles, templates), PowerPoint, Excel.
• Advanced proficiency in Adobe InDesign; knowledge of Illustrator and Photoshop.
• Experience with SharePoint, Teams, and Microsoft 365 collaboration tools.
• Knowledge of QGIS or ArcGIS and Adobe Acrobat is an asset.
• Ability to use generative AI tools (e.g., Microsoft 365 Copilot) for drafting and language review.
