Project Administrator – Construction Operations

About the role
Clearway is seeking a Project Administrator to provide centralized administrative, commercial, and document‑control support for its construction projects. The role reduces the administrative workload of project and site teams while ensuring accurate documentation and timely communication.
Key responsibilities
- Set up and maintain project filing structures, forms, templates, logs, directories, and documentation including drawings, specifications, RFIs, submittals, changes, permits, purchase orders, subcontracts, T&M records, deficiencies, and closeout documents.
- Maintain revision control, project logs, trackers, monitor deadlines, and prepare routine correspondence, transmittals, reports, and notices.
- Assist with progress billings, invoice submission packages, and routine cost reporting, maintaining records for commitments, invoices, billings, and changes.
- Manage change, extra‑work, quotation, change‑order, and credit logs, identify missing approvals, and distribute executed changes.
- Assemble and review Time & Material packages, verify calculations, and coordinate resolution of missing information.
- Support procurement by completing administrative portions of purchase orders and subcontract requests, and prepare permit applications and track approvals.
- Coordinate project meetings, prepare agendas, attend meetings, record minutes, and maintain action‑item logs.
- Maintain closeout checklists, deficiency logs, and track warranties, O&M manuals, as‑builts, certificates, and final submissions.
Required profile
- Post‑secondary education in Construction Management, Business Administration, Accounting, Engineering Technology or related field, or equivalent experience.
- Minimum two years of experience in project administration, coordination, document control, contract or procurement administration, preferably in construction.
- Strong organizational, written communication, data accuracy, and follow‑up skills.
- Ability to understand routine contractual and commercial documentation and recognize matters requiring escalation.
- Legal eligibility to work in Canada without sponsorship.
Required skills
- Proficiency with Microsoft 365 – Excel, Word, Outlook, Teams, and SharePoint.
- Ability to learn company project‑management, accounting, and document‑control systems.
