HR Assistant (Part‑time, 0.6 FTE)

About the role

The Vancouver Coastal Health Research Institute (VCHRI) is seeking a part‑time HR Assistant to support daily HR operations. Working under the Assistant Manager, HR, you will handle appointments, timesheets and onboarding for staff, students and faculty.

Key responsibilities

• Initiate and process HR transactions in Workday and VCH systems (hire, job change, termination, position creation, costing allocation, requisitions).
• Follow up with approvers to ensure timely completion of transactions.
• Provide general information on attendance, short‑term absences and basic collective‑agreement interpretation.
• Escalate complex HR issues to the Assistant HR Manager.
• Reconcile staff records for vacation, sick leave, leaves of absence and overtime; respond to related inquiries.
• Prepare data extracts and run HR reports for supervisors and senior leaders.
• Maintain data integrity across UBC and VCH HR systems and support onboarding activities.

Required profile

• Experience performing clerical HR tasks in a university or health‑research environment.
• Ability to interpret and communicate routine HR policies and collective‑agreement provisions.
• Strong attention to detail and ability to maintain accurate records.
• Effective communication skills for interacting with staff, students and faculty.

Required skills

• Workday HR system (subject‑matter expert).
• HRIS data entry and maintenance.
• Microsoft Excel for reporting and data analysis.
