Front Desk Service Representative – Student Housing

About the role

The Front Desk Service Representative provides front‑line customer service and administrative support for UBC’s student residences. Working a 4‑day, 35‑hour bi‑weekly schedule, the role is the first point of contact for residents, visitors and emergency situations, ensuring safety, security and a welcoming community.

Key responsibilities

• Greet residents and visitors, manage check‑ins, check‑outs and room transfers, and maintain the Student Housing database.
• Serve as primary liaison during residence emergencies (medical, fire, security, behavioural incidents) and follow university policies.
• Issue and track electronic keys, maintain key inventory, and coordinate lock changes as needed.
• Sort and deliver mail and parcels, handle equipment loans, and process maintenance requests.
• Document incidents, complete shift activity reports, and communicate information to housekeeping, security and other campus services.

Required profile

• High school diploma plus one year of post‑secondary education and at least three years of hotel, hospitality or customer‑service experience, or an equivalent combination.
• Commitment to equity, diversity and inclusion and ability to respect diverse perspectives.

Required skills

• Excellent oral and written communication with a professional telephone manner.
• Proficiency in Microsoft Word, Excel and Outlook and ability to learn proprietary software.
• Competence in operating standard office equipment and managing key inventory.
