Flight Coordinator

About the role

We are seeking a Flight Coordinator to join a fast‑paced aviation environment. The role serves as the primary point of contact for corporate, private and air‑ambulance clients, overseeing end‑to‑end flight logistics and ensuring seamless operations.

Key responsibilities

• Act as the main liaison for aviation clients, providing responsive communication throughout the flight coordination process.
• Plan and arrange complete travel logistics, including air transport, ground transport, catering and accommodation.
• Prepare, validate and manage customs and regulatory documentation for domestic and international flights.
• Support charter, private and air‑ambulance operations in line with aviation regulations and client requirements.
• Supervise junior coordination staff, ensuring accuracy and efficiency in daily tasks.
• Perform post‑flight administrative duties such as data entry, reporting and follow‑ups.
• Manage invoicing, purchase order tracking and supplier account closure.
• Liaise with clients, vendors and internal teams to guarantee flawless execution of flight‑related services.

Required profile

• Bilingual fluency in French and English (written and spoken).
• Experience in aviation operations, charter coordination, air‑ambulance services or related logistics.
• Strong understanding of Canadian and international customs processes and aviation operational requirements.
• Familiarity with Canadian aviation regulations (CAR 604, 703, 704) is a strong asset.

Required skills

• Proficiency with Microsoft Office Suite.
• Comfort using operational management tools (e.g., FOS or similar systems).
