About the role
The Executive Assistant will be a core member of Sagard’s Toronto office, providing high‑level support to three senior executives located across North America. The role balances calendar management, travel coordination, event planning and CRM reporting while collaborating with the broader investment team.
Key responsibilities
- Manage complex, multi‑time‑zone calendars for three executives, schedule internal and external meetings, and coordinate with other executive assistants.
- Serve as primary gate‑keeper, handling communications with vendors, clients and stakeholders, and prioritising requests.
- Arrange domestic and international travel, process expense reports in Concur, and oversee conference registrations and related logistics.
- Support office operations, including meeting room bookings, catering, printing and acting as backup for the Office Coordinator.
- Maintain and update contact and company records in Affinity and DealCloud, logging notes and meeting outcomes.
- Leverage AI and productivity tools to streamline workflows and assist the broader team with scheduling, note‑taking and follow‑ups.
Required profile
- 3‑5 years of experience in executive support, administration or a similar role supporting multiple senior leaders.
- Demonstrated ability to work across geographies and manage competing priorities.
- Strong written and verbal communication skills and a professional, proactive demeanor.
- Willingness to work three days per week on‑site in Toronto.
Required skills
- Proficiency with Affinity.
- Experience using Concur for travel and expense management.
- Familiarity with DealCloud CRM.
- Comfort with AI‑driven productivity tools.
