About the role
We are seeking a highly organized and proactive Executive Assistant to support senior executive leadership, including the Global SVP, Talent, and the CHRO, in Downtown Toronto. This high‑impact role operates in a fast‑paced, matrixed environment, ensuring seamless executive operations, communication flow, and cross‑functional coordination.
Key responsibilities
- Manage complex, multi‑time‑zone calendars for senior executives, prioritising meetings and commitments.
- Act as gatekeeper for internal and external communications, handling inboxes and triaging requests.
- Coordinate domestic and international travel arrangements within tight timelines.
- Process and submit expenses accurately and promptly.
- Organise executive meetings, prepare agendas, take minutes and track actions.
- Lead coordination of internal and external events such as town halls, leadership meetings and team events.
- Prepare high‑quality presentations, reports and executive correspondence.
- Maintain HR signing authority records and manage system access permissions (Teams, shared drives, mailboxes, distribution lists).
- Support onboarding and off‑boarding processes within the HR function.
- Conduct compliance and access audits to ensure data integrity and security standards.
- Assist with HR Business Continuity planning, documentation updates and stakeholder coordination.
- Support communication tools, training and data collection for continuity initiatives.
Required profile
- 5+ years of experience as an Executive Assistant or senior administrative support, preferably in an HR environment.
- Experience supporting multiple senior leaders in a complex, matrixed organisation.
- Strong organisational skills with the ability to manage competing priorities in a fast‑paced setting.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism and sound judgement.
- Ability to work independently and anticipate executive needs proactively.
- Bilingualism in French and experience within HR or large corporate environments are assets.

What we offer
- Base salary $80,000‑$90,000 CAD
- 8% annual bonus
- Three days on‑site in Downtown Toronto (hybrid work model)
