About the role
The Ontario Medical Association is seeking an Executive Assistant to support its Vice President of Governance & Physician Leader Engagement. This role ensures smooth administrative operations, allowing senior leadership to focus on strategic priorities within the health‑care sector.
Key responsibilities
- Provide comprehensive executive support to the Vice President, managing calendars, prioritising access, and handling confidential correspondence.
- Lead strategic initiatives and project‑manage key files, timelines, workflows, and delegated tasks.
- Coordinate internal and external meeting logistics, preparing agendas, presentations, and supporting documents.
- Maintain electronic filing systems and develop information‑tracking processes.
- Support committee administration, including drafting agendas, minutes, and follow‑up on action items.
- Assist with professional registration, continuing education tracking, and departmental work‑plan development.
Required profile
- Proven experience in executive or senior‑level administrative support, preferably in a health‑care or professional association environment.
- Strong organisational skills with the ability to anticipate needs and manage competing priorities.
- Excellent written and verbal communication, with a high degree of discretion.
- Ability to work collaboratively with other executive assistants and cross‑functional teams.
