Catering and Event Coordinator

About the role

The Catering and Event Coordinator supports the Senior Sales Manager in planning and executing events ranging from 50 to 400 guests at the Vancouver Aquarium. The role involves client interaction, site inspections, and coordination with banquet, culinary, and other internal teams to ensure seamless event delivery.

Key responsibilities

• Conduct site inspections and tours for prospective clients and industry representatives.
• Build and maintain relationships with clients through in‑person meetings, phone calls, and email communication.
• Create Banquet Event Orders, process bookings in the property management system, and manage invoicing and payment follow‑up.
• Collaborate with internal departments to align resources and deliver event requirements.
• Maintain accurate event files, spreadsheets, and event management software records.
• Represent the venue at trade shows, networking events, and industry meetings when needed.

Required profile

• Strong customer‑service orientation with excellent verbal and written communication skills.
• Detail‑oriented and able to manage multiple events simultaneously.
• Proactive attitude and ability to work independently as well as within a team.
• Experience in hospitality, catering, or event coordination is preferred.

Required skills

• Proficiency with Excel for tracking event data and financials.
• Experience using event management software.
• Familiarity with property management systems for booking processing.
