About the role
Join a leading Canadian institutional investment organization as an Administrative Assistant supporting senior leaders in a fast‑paced, hybrid environment. You will play a key role in ensuring smooth day‑to‑day operations for Managing Directors and other executives.
Key responsibilities
- Manage complex calendars and scheduling for senior stakeholders (Managing Director level).
- Coordinate domestic and international travel arrangements.
- Prepare and process expense reports and invoices.
- Provide proactive administrative support across multiple leaders.
- Act as a primary point of contact, maintaining professionalism with senior stakeholders.
- Support team coordination and collaborate with other administrative professionals.
- Handle confidential and sensitive information with discretion.
- Assist with ad‑hoc administrative tasks and special projects.
- Help streamline processes and improve administrative efficiency.
Required profile
- 2+ years of administrative experience, preferably supporting senior leadership.
- Strong organizational skills and ability to multitask effectively.
- High attention to detail and accuracy.
- Professional communication style and confident presence.
- Ability to work independently and take initiative.
Required skills
- Strong proficiency in Microsoft Outlook, Teams, and Office Suite.
- Experience managing calendars, booking travel, and handling expenses.
