About the role
Fidelity is seeking a proactive Administrative Assistant to support its Marketing team in a hybrid work environment. This full‑time, permanent position is based at 483 Bay Street, Toronto, with a planned move to the new Mississauga office in late 2026. Canadian work authorization is required.
Key responsibilities
- Provide executive and administrative support to senior Marketing leaders, including calendar management and meeting coordination.
- Arrange travel itineraries, handle itinerary changes, and troubleshoot issues as needed.
- Prepare and submit accurate expense reports and manage purchase orders, invoicing, and procurement documentation.
- Coordinate meeting logistics such as room bookings, Zoom setup, agendas, and materials.
- Act as the central point of contact for administrative requests, liaising with internal partners and external vendors.
Required profile
- Highly organized, proactive, and service‑oriented.
- Comfortable working with senior leaders, internal teams, and external vendors.
- Ability to manage multiple priorities in a fast‑paced environment.
Required skills
- Zoom (meeting setup and management).
