Temporary Membership Records Clerk (L3)

About the role
The Development and Records Department of BCGEU is seeking a Temporary Membership Records Clerk (Level 3) to support the Membership Records team. This six‑month fixed‑term role involves maintaining and updating member data, ensuring data quality, and providing administrative support to internal and external stakeholders.
Key responsibilities
- Data entry – accurately input data from paper documents and other sources into databases and spreadsheets.
- Data maintenance – update member records, resolve inconsistencies, and post structured data files to databases.
- Data retrieval – compile and combine data from multiple systems using Excel.
- Collaborate with finance – validate and process dues payments and related reports.
- Correspondence – communicate with external data suppliers to investigate and resolve data issues.
- Data validation – review for errors, duplicates and correct discrepancies.
- Reporting – assist in generating reports, summaries and presentations for internal and external audiences.
- Collaboration – support other departments with their data needs while ensuring quality standards.
- Customer service – respond promptly to member and department inquiries.
- Compliance – follow BCGEU data management and financial policies to protect confidentiality.
- Office operations – operate office equipment, manage physical and digital files, and take meeting minutes.
- Continuous improvement – identify and suggest enhancements to data management processes.
Required profile
- 2‑4 years of administrative experience.
- High school diploma.
- Intermediate proficiency with Excel.
- Experience with UnionWare or other SQL‑based relational databases.
- Proficiency in Microsoft Office, Teams, Adobe Acrobat, Confluence and Jira Service Desk (or similar).
- Strong analytical and critical‑thinking abilities.
- Ability to work independently and as part of a team.
- Highly organized, detail‑oriented and able to meet deadlines.
- Excellent telephone manner and customer‑service skills.
- Preferred: understanding of BCGEU’s structure.
