Operations Specialist – Property Management

About the role

We are seeking an Operations Specialist to support our property management and vacation‑rental portfolios. The role involves executing daily operational tasks, handling communications with owners, tenants, guests and vendors, and ensuring high‑quality service delivery. The position works on a 24/7 schedule with rotating shifts.

Key responsibilities

• Execute the daily operational plan and priorities, reviewing and completing tasks in Bolld Max.
• Maintain accurate records and updates within company systems, following all processes and workflows.
• Respond professionally to emails, messages, calls and inquiries from property owners, tenants, guests, vendors, contractors, realtors and internal team members.
• Document all communications appropriately and provide timely updates and follow‑ups.
• Coordinate maintenance requests, repairs, inspections and property visits; manage tenant onboarding, move‑in processes and tenancy documentation.
• Support owner reporting and regular updates.
• Monitor guest communications, coordinate cleaning schedules, support check‑ins/check‑outs, and handle reservation activity and service quality.
• Escalate operational or guest‑related issues proactively.
• Assist with leasing activities: schedule showings, follow up with prospects, screen applicants and track leasing pipeline milestones.

Required profile

• Highly organized, detail‑oriented and proactive.
• Ability to manage multiple priorities while maintaining professionalism.
• Strong written and verbal English communication skills.
• Comfortable working in a fast‑paced environment and rotating 24/7 shifts.

Required skills

• Proficiency with property‑management software (Bolld Max) and basic computer applications.
• Accurate record‑keeping and documentation.
• Ability to follow documented processes and workflows.
• Effective communication in English, both written and verbal.
