On‑Site Production Coordinator

About the role

As a Production Coordinator you will work closely with the Producer and Production Manager to manage departmental schedules, track task progress in Flow, and ensure accurate data communication with supervisors. You’ll coordinate client deliveries, handle notes efficiently, and maintain a positive team environment while scheduling meetings, organizing Dailies sessions, and supporting supervisors in team leadership.

Key responsibilities

• Maintain and manage departmental schedules in collaboration with the Producer and Production Manager.
• Track artists’ task progress in Flow and keep data up‑to‑date.
• Communicate deadlines, client deliveries, and priority notes to supervisors and artists.
• Schedule, coordinate, and take notes during meetings, then distribute them promptly.
• Run multiple Dailies sessions daily and ensure proper preparation for all reviews.
• Act as a secondary contact for department queries when senior leads are unavailable.

Required profile

• 4+ years of experience in production coordination or project support, preferably in animation, VFX, or a similar creative industry.
• Familiarity with Flow / ShotGrid (Shotgun) or comparable project‑tracking software.
• Comfortable handling administrative tasks such as scheduling, note‑taking, email correspondence, and deliverable tracking.
• Strong task prioritization, organization, and time‑management abilities.
• Effective communicator able to coordinate across multiple teams.
• Calm under pressure with the ability to adapt to changing priorities.

• Google Workspace (Docs, Sheets, Calendar).
• Slack collaboration platform.
• Zoom video‑conferencing tool.
