About the role
The Martell Group is seeking an Executive Assistant to manage office operations and provide high‑level support to the Portfolio Growth Leader in our Kelowna office. This fast‑paced, high‑trust position ensures the leader can focus on strategic initiatives while daily execution runs smoothly.
Key responsibilities
- Oversee day‑to‑day office functions, including supplies, layout, and on‑site logistics.
- Manage the Portfolio Growth Leader’s calendar, priorities, and meeting preparation.
- Prepare agendas, notes, and track action items from meetings.
- Coordinate internal communications and task tracking across teams.
- Maintain organized systems in Google Suite, Notion, and project‑management tools.
- Develop and refine operational processes and documentation.
- Leverage AI tools and automation to streamline repetitive workflows.
- Handle confidential information with discretion.
Required profile
- Minimum 3 years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.
- Strong operational mindset with a focus on efficiency, structure, and clear processes.
- Ability to juggle multiple priorities in a high‑growth environment.
- Excellent written and verbal communication skills.
Required skills
- Proficiency with Google Suite.
- Experience using Slack.
- Familiarity with Notion.
- Competence in project‑management software.
- Comfort with AI tools and automation platforms.
