Appointment Coordinator – Service Department

About the role

The Appointment Coordinator supports the Service Department by managing customer appointments, ensuring timely scheduling of service, recalls, and maintenance. This full‑time, on‑site position works within a fast‑growing automotive retail group focused on customer experience.

Key responsibilities

• Handle inbound calls and emails to schedule, confirm, or reschedule service appointments.
• Contact customers ahead of appointments to confirm dates, inform them of recalls or campaigns, and book maintenance.
• Enter and update appointments in the computerized scheduling system and maintain accurate customer records.
• Follow up after service visits to capture feedback, document visit quality, and report any complaints to the Service Manager.
• Attend required meetings, training sessions, and adhere to safety policies.

Required profile

• Minimum 2 years experience in customer relations, preferably in an automotive or service environment.
• Strong organizational abilities, people skills, and the capacity to work constructively with all dealership departments.
• Basic knowledge of automotive parts and accessories.
