About the role
Kepler is looking for a highly organized Talent Acquisition Operations Coordinator to join the People & Culture team in Toronto. Reporting to the Talent Acquisition Manager, you will ensure a smooth candidate and hiring manager experience while supporting recruiting operations across the organization. This role is ideal for an early‑career professional who thrives in a fast‑paced environment and enjoys coordinating multiple priorities.
Key responsibilities
- Coordinate and schedule candidate interviews across multiple time zones, including hiring manager, panel, executive, and final‑round interviews.
- Manage virtual and on‑site interview logistics, ensuring a seamless experience for candidates and interview teams.
- Partner with recruiters, hiring managers, and candidates to maintain interview calendars, resolve conflicts, and provide timely communication.
- Prepare interview schedules, feedback forms, and interview materials for candidates and hiring teams.
- Arrange candidate travel and accommodations when required.
- Support pre‑brief and debrief meetings and collect interview feedback.
- Maintain accurate candidate records, interview stages, and recruiting data in Lever and other recruiting systems.
- Deliver exceptional candidate experience through proactive communication, hospitality, and on‑site support.
- Administer Kepler’s Employee Referral Program, track referrals, assist with bonus processing, and monitor program effectiveness.
Required profile
- Early‑career professional in Talent Acquisition, HR, or People Operations.
- Strong organizational and detail‑orientation skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Excellent communication and interpersonal skills.
- Proactive attitude with a focus on delivering high‑quality candidate experiences.
Required skills
- Experience with Lever or similar recruiting systems.
