Equipment Coordinator

About the role

The Equipment Coordinator will support the day‑to‑day operations of the Equipment Division for a leading civil construction contractor in Greater Vancouver. Based in the Langley shop, the role ensures that a fleet of 150‑200 heavy‑equipment units receives timely maintenance, repairs, and parts, keeping field operations running smoothly.

Key responsibilities

• Process and submit employee timecards accurately and on schedule.
• Coordinate preventative maintenance and repair work orders in line with operational priorities.
• Maintain up‑to‑date equipment records, service histories, and maintenance documentation.
• Assist with procurement of parts, consumables, office supplies and manage warehouse inventory.
• Create and track purchase orders, monitor repair costs, and support warranty management.
• Generate weekly, bi‑weekly and monthly equipment and maintenance reports.
• Communicate equipment status, downtime and scheduled repairs to management and field teams.
• Support the maintenance team by removing operational roadblocks and ensuring safety compliance.

Required profile

• Minimum two years of experience in administrative, equipment or maintenance coordination.
• Background in heavy equipment, construction, civil contracting, fleet maintenance or related industries is strongly preferred.
• High school diploma; post‑secondary education in business administration or a related field is an asset.
• Strong organizational abilities, attention to detail and proactive problem‑solving mindset.

Required skills

• Proficiency with Microsoft Excel.
• Proficiency with Microsoft Word.
• Proficiency with Microsoft Outlook.
