About the role
The Muslim Food Bank and Community Services Society is seeking an Administrative Assistant to support its senior management and head office staff. This full‑time, on‑site role ensures smooth communication between the Richmond headquarters and regional branches across Canada while upholding the organization’s mission of dignity‑driven community support.
Key responsibilities
- Provide day‑to‑day administrative support to senior management and office staff.
- Coordinate communications with regional offices, donors, and vendors.
- Maintain physical and digital filing systems, manage records, reports, and confidential documents.
- Sort and distribute incoming mail and handle correspondence, emails, and phone inquiries professionally.
- Assist with data entry in front‑end systems and support volunteer scheduling and onboarding.
- Perform light bookkeeping tasks, including tracking donations, managing petty cash, and preparing expense reports.
- Undertake other administrative duties as required.
Required profile
- Diploma or certificate in Office Administration or a related field.
- 1–2 years of administrative experience; non‑profit experience is an asset.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively.
- High level of discretion and professionalism.
- Physically able to lift up to 20 lb for occasional stock handling.
Required skills
- Proficiency in Microsoft Word.
- Proficiency in Microsoft Excel.
- Proficiency in Microsoft Outlook.
- Basic knowledge of CRM or donation management systems.
