Team Coordinator

About the role

Graywood Construction Management is looking for a highly organized Team Coordinator to support the Senior Vice President and the senior construction management team. Based at the Toronto head office, this full‑time, on‑site role ensures smooth daily operations across multiple construction projects.

Key responsibilities

• Provide day‑to‑day administrative support to the SVP, Director of Construction and the broader team, including meeting coordination, agenda preparation and distribution of materials.
• Produce and format presentations, reports, meeting minutes, invitations and correspondence, with a focus on PowerPoint deliverables.
• Maintain electronic filing systems, manage document control processes and assist with construction contract documentation.
• Support construction site activities, track milestone events, training certifications and labourer allocations.
• Handle general office tasks such as email monitoring, courier arrangements, inventory management and backup reception duties.
• Coordinate HR processes for hiring, onboarding and off‑boarding in partnership with the HR department.

Required profile

• Strong attention to detail and ability to manage competing priorities.
• Professional handling of confidential information.
• Excellent communication and coordination skills across multiple stakeholders.
• Experience in administrative support within a construction or similar environment.

Required skills

• Proficiency with PowerPoint for creating presentations.
