Service Representative

About the role

The Student Wellness Hub at McGill University is seeking a Service Representative to be the first point of contact for students accessing health and wellness services. You will provide friendly, accurate information and support the hub’s daily operations.

Key responsibilities

• Greet students, answer general inquiries and explain available services such as group counselling, workshops, and professional appointments.
• Schedule and register clients for appointments with physicians, nurses, therapists, dietitians, and other clinicians.
• Verify student status and eligibility, direct walk‑in emergencies according to hub protocols, and refer clients to external clinics when needed.
• Handle mail, faxes and the delivery of documents, including release‑of‑information requests.
• Process debit/credit card payments for no‑shows, late fees and appointment fees using the Moneris system, issue receipts and close daily batches.
• Scan paper records into the electronic medical record system and maintain up‑to‑date student information.
• Provide secretarial support, transmit referrals, and resolve discrepancies in student records.

Required profile

• Strong customer‑service orientation with the ability to communicate clearly and courteously.
• Attention to detail and ability to manage confidential student information.
• Capability to work under supervision while handling multiple administrative tasks.

Required skills

• Experience with Moneris payment processing.
• Proficiency in using an electronic medical record (EMR) system.
• Basic computer skills, including scanning and document management.
