Registration/Booking Clerk – Outpatient Surgery Clinic

About the role

The Registration/Booking Clerk supports the Outpatient Surgery Clinic by managing patient appointments, registrations, and related administrative tasks. This full‑time position ensures smooth scheduling and accurate patient information flow within the clinic.

Key responsibilities

• Utilize a computerized scheduling system to book and adjust patient and interdisciplinary appointments, and provide reminder calls.
• Register patients on arrival, verify demographics, and notify clinicians of patient presence.
• Handle referral functions, gather missing information, enter data, and schedule new referrals according to clinical criteria.
• Perform receptionist duties such as answering phones, greeting patients, printing schedules, and directing complex queries.
• Assemble and maintain client charts, request missing documentation, and ensure record accuracy.
• Maintain logs and statistics on attendance, cancellations, and wait‑lists, and follow up with team members as needed.
• Prepare and distribute correspondence, reports, meeting minutes, and spreadsheets using word‑processing and spreadsheet software.
• Provide general clerical support, including filing, mail handling, faxing, photocopying, and ordering office supplies.
• Prepare and submit expense claims and related invoices.

Required profile

• Experience with computerized scheduling and patient registration systems.
• Strong data‑entry accuracy and attention to detail.
• Ability to communicate clearly with patients, families, and clinical staff.
• Organizational skills to manage multiple clerical tasks simultaneously.
