About the role
As the first point of contact for Med-Eng, the Receptionist will manage all front‑desk activities, ensuring visitors and callers receive a professional and courteous experience. The role combines telephone handling, greeting guests, and a variety of administrative support tasks across multiple departments.
Key responsibilities
- Answer incoming calls, respond to general enquiries and route calls appropriately; make occasional public address announcements.
- Welcome visitors, direct them to the correct contacts, and manage visitor/contractor badge issuance and logbook entries.
- Handle daily mail, faxes and courier packages, including processing outgoing mail and maintaining postage supplies.
- Maintain the corporate kitchen inventory, empty dishwashers and keep meeting rooms tidy, replacing tablecloths when needed.
- Print and post the daily calendar, assist with calendar approvals and order office supplies as required.
- Prepare shipping labels, packing lists and commercial invoices for small spare‑part shipments under guidance from the Logistics team.
- Support special projects assigned by the supervisor and provide administrative assistance to sales, marketing and customer support teams.
- Process LOR pickups and deliveries between Global Affairs Canada and embassies, and perform general printing, photocopying and catering tasks.
Required profile
- Minimum two years of experience in an office environment.
- Secondary school diploma or equivalent.
- Excellent oral and written communication skills in English.
- Strong customer‑service orientation with the ability to interact diplomatically with internal and external stakeholders.
- Ability to work independently and organise workload efficiently.
Required skills
- Intermediate proficiency with Microsoft Office suite (Outlook, Word, Excel) and general internet use.
