Production Coordinator

About the role
McGillivray Group, a marketing and media company focused on brand partnerships and creative production, is looking for a full‑time Production Coordinator to support its in‑house production team. Reporting to the Senior Producer, you will manage the logistics of branded content projects ranging from short‑form digital pieces to web series and social‑first campaigns.
Key responsibilities
- Coordinate crew, talent, equipment, locations, travel and overall production logistics.
- Create and distribute call sheets, production briefs, contact lists, meeting notes and status reports.
- Support budget tracking, purchase orders, invoices and production accounting.
- Manage approvals, feedback rounds, deliverables and final asset distribution.
- Serve as primary point of contact for internal teams, freelancers, vendors and production partners.
- Assist producers on shoot days by handling logistics, coordinating crews and vendors, and troubleshooting in real time.
- Identify scheduling conflicts, resource gaps and risks early to protect delivery timelines.
- Improve internal workflows, templates and production processes.
- Maintain project dashboards, trackers and reporting systems, keeping production assets organized and accessible.
Required profile
- Minimum five years of experience in a production coordination role within branded content.
- Exceptional communication and interpersonal abilities.
- Ultra‑organized with strong time‑management across multiple concurrent projects.
- Strong critical‑thinking, problem‑solving and attention to detail.
- Working knowledge of production accounting fundamentals.
- Ability to work independently and take ownership of responsibilities.
- Steady under deadlines, shifting priorities and fast‑paced productions.
