PLAA Coordinator – Permit Management for Transit Projects

About the role
We are seeking a PLAA Coordinator to support the Scarborough Transit Connect project, managing permit applications and tracking for the subway extension. The role works closely with the PLAA Manager, Metrolinx, the City of Toronto and other stakeholders to ensure timely approvals.
Key responsibilities
- Prepare and submit permit applications to City, MTO, TPUCC and follow up with reviewers.
- Maintain and update the permit register and tracking tools (Intelex, Smartsheet) to provide visibility on upcoming permits.
- Create and manage a permitting tracker documenting comments, responses, submissions and resubmissions.
- Support the PLAA Manager in liaising with Metrolinx, the City of Toronto and other internal and external stakeholders.
- Provide weekly status updates on each permit application and flag critical issues.
- Coordinate internal PLAA working‑group meetings, record minutes and distribute invitations.
- Prepare monthly reports and spreadsheets summarising the PLAA process.
Required profile
- Experience in coordinating permit applications for construction or infrastructure projects.
- Strong organisational skills and ability to manage multiple permit processes simultaneously.
- Effective communication with external agencies and internal teams.
