Office Manager (Private Wealth Practice)

About the role
The Office Manager will support a growing private wealth management practice in Mississauga, acting as the primary point of contact for clients and ensuring smooth day‑to‑day operations. Working closely with a Portfolio Manager and Investment Advisor, you will help deliver a high‑touch, relationship‑driven experience.
Key responsibilities
- Engage directly with clients and prospects to schedule meetings, promote events, and maintain strong touchpoints.
- Coordinate seminars, workshops and client events, handling logistics and ensuring a polished experience.
- Manage calendars, communications and CRM updates to keep the practice running efficiently.
- Oversee office administration, including expense tracking and basic bookkeeping.
- Greet clients, prepare meeting spaces and create a professional, welcoming environment.
- Support outreach initiatives by tracking follow‑ups and maintaining client records.
Required profile
- Minimum 3 years of experience in a client‑facing administrative or coordination role.
- Excellent written and verbal communication skills in English, with confidence on the phone.
- Strong organizational abilities, attention to detail and capacity to prioritize multiple tasks.
- Interest in financial services; CSC or IFC certification considered an asset.
Required skills
- Proficiency with CRM systems.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Experience with QuickBooks (preferred).
