About the role
We are looking for a highly organized Office Manager and Senior Executive Assistant to support our Country Manager, Canada and senior leadership team in Toronto. This role is central to the smooth operation of our Canadian office and offers the chance to influence process improvements and contribute to company growth.
Key responsibilities
- Provide high‑level administrative support to the Country Manager and senior leaders, managing calendars, agendas and communications.
- Plan and execute client events, handling venue selection, vendor coordination and on‑site logistics.
- Arrange complex domestic and international travel, creating detailed itineraries that consider time zones and meeting requirements.
- Oversee day‑to‑day office operations, equipment maintenance and liaison with property management.
- Collaborate with compliance and legal teams to ensure activities meet local regulations.
- Identify and implement process improvements to increase administrative efficiency.
- Work with Accounts Payable and Purchasing on vendor management and due‑diligence.
- Prepare and format documents, including professional PowerPoint presentations for client and board meetings.
- Serve as primary point of contact for regional departments, facilitating communication and problem‑solving.
- Coordinate new‑employee onboarding and act as a local resource for IT updates.
Required profile
- Bachelor’s degree.
- Minimum of 7 years of experience in an Executive Assistant or similar senior administrative role.
- Proven ability to manage multiple high‑priority tasks with attention to detail.
- Strong organizational, communication and stakeholder‑management skills.
