About the role
The Executive Coordinator provides high‑level administrative support to the Director of the Office of Indigenous Strategic Initiatives (OISI) and to senior leadership in Indigenous affairs at UBC. This role serves as a primary liaison between the university, Indigenous communities, and external agencies, ensuring smooth coordination of projects and initiatives.
Key responsibilities
- Manage and track multiple projects throughout their life‑cycle, including planning, implementation, review, and reporting.
- Coordinate activities of project teams, schedule meetings, and prepare agendas and minutes.
- Serve as the main point of contact for the Director, handling communications with Indigenous partners, university departments, and external stakeholders.
- Maintain comprehensive knowledge of OISI functions, university policies, and the Indigenous Strategic Plan.
- Prepare and edit documents, presentations, and reports for senior leadership.
Required profile
- Demonstrated experience providing executive‑level administrative support in a complex, multicultural environment.
- Strong understanding of Indigenous community engagement and related protocols.
- Excellent organizational skills with the ability to manage competing priorities.
- High level of discretion, tact, and sensitivity.
Required skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Effective written and verbal communication skills.
- Project coordination and documentation management.
