About the role
The Executive Assistant provides high‑level, confidential administrative support to the Chief Information Officer and a team of senior IT leaders. This role ensures smooth daily operations, manages complex schedules, and coordinates communications across internal and external stakeholders.
Key responsibilities
- Maintain and prioritize a dynamic calendar for the CIO and IT executives, handling meeting arrangements and follow‑ups.
- Plan and coordinate local and international travel, preparing detailed itineraries and schedules.
- Manage incoming and outgoing communications, including email and phone, to ensure timely information flow.
- Act as an ambassador and gatekeeper, handling internal and external relationships and routing inquiries appropriately.
- Assist with budget tracking, vendor creation, corporate credit‑card expenses, vacation requests, accruals, and invoice approvals.
- Prepare and follow up on expense reports, premium support hours, and board‑meeting materials such as memos and presentations.
- Support IT initiatives by coordinating onboarding, global IT meetings, team events, and training tracking.
- Provide office‑management assistance and maintain documentation, including translation coordination when required.
Required profile
- Minimum 5 years of experience as an Administrative or Executive Assistant, preferably supporting senior executives.
- Exceptional organizational and follow‑up skills with the ability to manage multiple priorities.
- Discreet and professional handling of confidential and sensitive information.
- Flexibility to work varying hours, especially during board meetings and key project launches.
- Adaptable, mature, and able to thrive in a fast‑changing environment.
