About the role

The Executive Assistant provides high‑level, confidential administrative support to the Chief Information Officer and a team of senior IT leaders. This role ensures smooth daily operations, manages complex schedules, and coordinates communications across internal and external stakeholders.

Key responsibilities

  • Maintain and prioritize a dynamic calendar for the CIO and IT executives, handling meeting arrangements and follow‑ups.
  • Plan and coordinate local and international travel, preparing detailed itineraries and schedules.
  • Manage incoming and outgoing communications, including email and phone, to ensure timely information flow.
  • Act as an ambassador and gatekeeper, handling internal and external relationships and routing inquiries appropriately.
  • Assist with budget tracking, vendor creation, corporate credit‑card expenses, vacation requests, accruals, and invoice approvals.
  • Prepare and follow up on expense reports, premium support hours, and board‑meeting materials such as memos and presentations.
  • Support IT initiatives by coordinating onboarding, global IT meetings, team events, and training tracking.
  • Provide office‑management assistance and maintain documentation, including translation coordination when required.

Required profile

  • Minimum 5 years of experience as an Administrative or Executive Assistant, preferably supporting senior executives.
  • Exceptional organizational and follow‑up skills with the ability to manage multiple priorities.
  • Discreet and professional handling of confidential and sensitive information.
  • Flexibility to work varying hours, especially during board meetings and key project launches.
  • Adaptable, mature, and able to thrive in a fast‑changing environment.
