Event / Guest Service Coordinator

About the role

The Event / Guest Service Coordinator will join Bodega Ridge’s hospitality team on Galiano Island, overseeing the planning and execution of weddings, retreats and private functions. Working in a hybrid capacity, the role blends on‑site coordination with occasional remote work during the off‑season.

Key responsibilities

• Plan and coordinate on‑site events, managing logistics, schedules and vendor relationships.
• Create accurate Banquet Event Orders (BEOs) and ensure timely execution.
• Respond to sales leads, arrange site tours for prospective clients and the General Manager.
• Handle phone, email and booking‑platform inquiries, providing detailed information about the venue and surrounding area.
• Manage bookings, reservations and maintain up‑to‑date records.
• Liaise with vendors, support marketing initiatives and help refine event packages based on feedback.
• Maintain high standards of guest service across all touch‑points and assist front‑desk operations during peak season.

Required profile

• Proven experience in event coordination or hospitality, preferably with weddings, retreats or similar functions.
• Strong communication and interpersonal abilities, with a calm, professional approach to guest needs.
• Excellent organizational skills, capable of juggling multiple priorities and maintaining accurate records.
• Problem‑solving mindset and adaptability in a dynamic, remote‑island environment.
• Reliable transportation to Galiano Island and willingness to work flexible hours, including evenings and weekends.
