Engagement Assistant

About the role

The Engagement Assistant provides operational and administrative support for the Faculty of Management’s marketing, communications and student engagement activities at UBC Okanagan. The role acts as a liaison between internal units, external partners and the university community to ensure smooth coordination of events, partnerships and communications.

Key responsibilities

• Respond to inquiries from students, faculty, alumni and external stakeholders, directing queries to appropriate contacts.
• Manage email distribution lists, partnership documentation, and logistical arrangements for international and local engagement events, including scheduling, room booking, IT support and catering.
• Coordinate communication activities such as website content updates, social‑media posting, editorial calendar management and the production of newsletters and press releases.
• Track event budgets, negotiate with suppliers, recruit and supervise volunteers, and support faculty committees related to engagement.

Required profile

• Two years of post‑secondary education in a relevant discipline.
• At least four years of related experience in administration, marketing, communications or event coordination.
• Project management training or certification is preferred.
• Ability to communicate in French is an asset.

Required skills

• Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Teams).
• Experience using email and database management tools.
