Employee Experience Coordinator – Talent Acquisition Support

About the role

The Employee Experience Coordinator (EEC) provides essential recruitment and employee‑experience administrative support to the Talent Acquisition team at William Osler Health System. This role ensures a smooth end‑to‑end candidate transition and contributes to various HR projects.

Key responsibilities

• Provide administrative assistance to Talent Acquisition Specialists and hiring managers throughout recruitment and onboarding.
• Ensure interview guides, grids, and selection tools are correctly applied.
• Schedule, administer, and score pre‑employment tests and assessments.
• Coordinate interview logistics, including panel availability and meeting rooms.
• Manage reference, credential, and background checks with external vendors, reviewing results and flagging issues.
• Prepare and issue external and internal offer letters.
• Update applicant tracking system data to reflect accurate candidate lifecycle stages.
• Enter and validate employee data in various HR systems.
• Participate in hiring fairs and support the Employee Experience team as needed.
