About the role
We are seeking a proactive Administrative Assistant to support our West team at Lemay, a leading Canadian architecture and design firm. The role combines office management, executive support, and event coordination in a fast‑paced, creative environment.
Key responsibilities
- Manage day‑to‑day administrative functions for the West team, including couriers, office supplies, facilities maintenance, coffee/tea orders, lunches, reservations, gifts, and alarm systems.
- Provide high‑level support to Principals: calendar management, travel arrangements, organizational tasks, and ad‑hoc projects.
- Track and renew professional association registrations, licenses, and certifications for the firm and Principals.
- Liaise with Building Management on facilities communications, updates, and modifications.
- Assist Finance with mail handling, deposits, and document coordination as needed.
- Develop and refine internal presentations, communications, and written materials.
- Organise internal team‑building events and client‑facing gatherings such as appreciation breakfasts and dinners.
Required profile
- Professional diploma or certification in Office Administration or a related field.
- 3–5 years of experience as an Administrative Assistant, Executive Assistant, or Office Manager.
- Excellent written and verbal communication skills with strong editing and interpersonal abilities.
- Ability to present information clearly and logically to internal and external stakeholders.
